From the moment a trip is confirmed, a meticulous process begins. We review the itinerary service by service: reservations, schedules, distances, transfer times, and any special needs shared by our client.
We also select the right guides according to each guest’s interests and needs, whether for a family traveling with children or someone with particular interest in architecture or history.
We make sure all documentation is in place and enter the relevant information into our system so we can support guests throughout their itinerary. We also anticipate potential challenges, from tight connections, weather alerts to access considerations, luggage, or dietary restrictions.
This requires close coordination between our Sales, Product, and Operations teams, as well as our trusted partners throughout Peru. When a journey begins and everything feels effortless, that sense of ease is the result of many people working seamlessly behind the scenes.
One of Peru’s greatest strengths—its extraordinary diversity—is also one of its greatest operational challenges. Distances can be significant, landscapes and altitudes vary considerably, and weather conditions can change quickly. At the same time, every journey has its own rhythm, and every guest brings different needs and expectations.
Our approach is to anticipate what lies ahead. We work with realistic timings, up-to-date information, trusted partners, and contingency plans. We also follow each operation closely as it unfolds, maintaining constant communication across our teams and partners.
Unexpected situations are part of travel, and some circumstances are beyond our control. What matters is how we respond: with speed, sound judgment, calm, and sensitivity, so guests feel supported and cared for at every step.

Being in the field is essential because some details simply cannot be fully understood from behind a desk. Traveling a route, checking timings, reviewing access points, experiencing a service firsthand, and speaking with our teams and partners allow us to make better decisions and see each experience through the guest’s eyes.
Every visit gives me the opportunity to confirm that what we offer can be delivered safely and to the standards we expect, while also understanding operational challenges and listening to the people who work there every day. Knowing our drivers, guides, and local teams personally strengthens trust and helps us work with greater closeness and coordination.
Recently, an alert for unusually high waves coincided with a scheduled visit to the Ballestas Islands. Our team responded quickly and calmly, reviewed the itinerary, and confirmed that the activities could be rearranged.
We moved the Ballestas Islands visit forward, and the following day, the guests were able to enjoy the desert instead. As a result, they completed their itinerary without missing either experience. Close communication between our client abroad, the guests in Peru, and our local partners made the change possible.
The main lesson was that managing a contingency is not simply about rearranging reservations—it is about taking care of people. Processes are essential, but so are sound judgment, clear communication, and the ability to put ourselves in the guest’s place.
Turning trust into an unforgettable experience
After so many years, I am still moved by everything that goes into creating an unforgettable experience: an enormous effort, often invisible, that makes each moment possible. A guest may remember a landscape, a conversation, or a warm welcome; behind each of those moments are many people coordinating, anticipating, and caring for every detail.
Every positive comment makes me proud of our team and our partners because it confirms that the effort was worthwhile. I am equally moved by the trust someone places in us. Turning that trust into a memory they will carry with them for years to come is both a great responsibility and one of the most rewarding parts of my work.
